How to Respond to Google Reviews (With Examples)
By Qrenzo · 6 min read ·
Your replies are public. They show every future customer how you treat people, so they matter as much as the reviews themselves. A good reply is short, specific and calm.
Replying to positive reviews
- Thank the person by name and mention something specific they said.
- Keep it short and genuine. Avoid copy-pasting the same line every time.
- Invite them back without making a sales pitch.
Replying to negative reviews
- Wait a little before replying so you can respond calmly.
- Thank them for the feedback, even when it hurts.
- Acknowledge the specific problem and apologise where it is warranted.
- Offer to fix it offline and give a direct way to contact you.
- Keep it brief. Do not argue or reveal private details.
Replying to reviews you believe are unfair
If a review looks fake, off-topic or breaks Google’s content rules, you can report it through your profile. Reply politely meanwhile: state the facts once, stay professional and let readers judge for themselves.
What to avoid
- Arguing, sarcasm or blaming the customer.
- Sharing personal details about the customer or their visit.
- Offering money or gifts to remove or change a review.
- Asking only happy customers for reviews. See how to ask customers for Google reviews the right way.
Make replying a routine
Set aside ten minutes twice a week to check for new reviews. Consistent, thoughtful replies tell customers and Google that your business is active and cares about feedback.
